Appointment Confirmation and Reminder Email Templates
An appointment confirmation email should tell the customer what is booked, when it happens, where to go, and how to change it. A reminder repeats the details that still apply close to the appointment. Neither message should make someone search an earlier thread for the address or joining link.
Use these six templates for consultations, shop visits, and service calls. Replace the placeholders and keep sensitive appointment details out of the subject line, where they may appear on a shared screen.
Booking confirmation
Send this after the booking is actually confirmed. An appointment request that still needs approval should say “request received” and explain when confirmation will arrive.

Hi [first name],
Your [appointment type] with [business or staff member] is confirmed.
Date: [day, month, date, year]
Time: [time and time zone]
Expected length: [duration]

Use an unambiguous date and include the time zone for online appointments or customers who may be traveling. If the booking system provides an add-to-calendar link, place it below the appointment details and verify that it contains the same start time, duration, and location.
For an arrival window, write “Arrival window: [start]–[end]” instead of displaying a single time that looks like a guaranteed arrival.
Reminder for an in-person visit
Send a reminder early enough for the recipient to make a practical change. The right lead time depends on the appointment and your existing cancellation policy.
Subject: Reminder: [appointment] on [day] at [time]
Hi [first name],
This is a reminder of your [appointment] at [business] on [date] at [time and time zone].
Address: [full address]
Arrival information: [parking, entrance, or check-in details]If your plans have changed, please use [reschedule link] or contact us at [phone].

Only ask customers to arrive early when there is an actual reason, such as completing a required check-in. Do not insert a generic “arrive 15 minutes early” instruction into every template.
If you reference a cancellation policy, link to the policy the customer received when booking. A reminder is a poor place to introduce a new fee or a new deadline.
Reminder for an online meeting
Put the joining link in the message. An invitation sitting somewhere in a calendar is not enough for a reader using a different device.
Subject: Your [meeting type] with [business]: [date]
Hi [first name],
We are scheduled to meet on [date] at [time and time zone] for [duration].
Join here: [meeting link]
We will discuss [brief agenda]. Please have [relevant material] available if you can.
If you have trouble joining, contact [phone or monitored email]. To choose another time, use [reschedule link].

Keep private meeting links private. Do not put one customer’s invitation into a bulk campaign or reuse it where the meeting provider expects an individual link.
Rescheduled appointment confirmation
Use this when a reschedule has succeeded in the booking system, not merely when someone requests a different time.
Subject: Updated appointment: [new date] at [new time]
Hi [first name],
Your appointment has moved from [old date and time] to [new date and time zone].
Location: [address or current meeting link]
Expected length: [duration]The earlier appointment is canceled. Please use the updated calendar invitation or these details.
If anything looks incorrect, reply to this email or call [phone].
[name or team]
Cancel reminders tied to the old booking. If your system creates a second record during rescheduling, check that it does not treat both records as active appointments.
Cancellation confirmation
A clear cancellation message prevents someone from wondering whether a button click worked.
Subject: Canceled: [appointment] on [date]
Hi [first name],
Your [appointment] on [date] at [time] has been canceled.
[If relevant: accurate information about the next step for an existing deposit or payment.]
To book another appointment, use [booking link] or contact [phone].
[name or team]
Replace the payment line with approved wording for the actual booking or remove it. Never imply that a refund has been processed merely because the appointment was canceled.
Follow-up after a missed appointment
Check attendance with the staff member before sending. A customer should not receive a missed-appointment email while sitting in your waiting room.
Subject: Rebooking your [appointment]
Hi [first name],
We were unable to connect for your appointment on [date]. If you would like to book another time, you can use [booking link] or contact [phone].
If our records are incorrect, please reply so we can update them.
[name or team]
Avoid blame and do not guess why the person missed the booking. Handle any existing fee policy through your established process.
Build the sequence around appointment status
A sensible starting setup is one confirmation at booking and one reminder before the appointment. Add another reminder only when the appointment type and customer feedback justify it. There is no universal number of reminders that these templates can promise will work best.
Test booking, rescheduling, cancellation, and completion with a test contact. A reminder for the old time must not send after rescheduling; canceled and completed appointments should not receive attendance reminders. See our email automation guide for the underlying workflow concepts.
Keep service information separate from promotional campaigns. The FTC distinguishes transactional or relationship messages from commercial messages based on purpose; mixing advertising into a confirmation can change the analysis. See its CAN-SPAM guidance. After launch, compare attended appointments, advance cancellations, reschedules, and missed appointments. Keep cancellations separate from no-shows: a customer who frees a slot in advance has responded usefully to the reminder.
